How to Forward Calls to an AI Receptionist (Keep Your Number)

You don't need a new number to use an AI receptionist. You turn on conditional call forwarding on your existing line, so calls you don't answer, calls when you're busy, or calls after hours go to the AI receptionist's number.
What is conditional call forwarding?
It forwards a call only in certain situations, instead of every call. The usual options are:
- No answer: forward after the phone rings for a set time.
- Busy: forward when you're already on a call.
- Unreachable: forward when your phone is off or has no signal.
- All calls: forward everything, for example after hours.
How do I set it up on a mobile phone?
On most phones you'll find it under Settings, then Phone or Calls, then Call forwarding. On many GSM networks you can also dial carrier codes for each case; the exact codes and charges vary by carrier and country, so check with your mobile provider first.
How do I set it up on a landline or VoIP system?
Business landlines and VoIP systems (such as RingCentral, Zoom Phone, Teams Phone or a hosted PBX) let you set forwarding rules in the admin portal or with your provider's star codes. You can usually set different rules for opening hours and after hours.
Which forwarding rule should I choose?
- Start with no answer and busy. You still take calls when you can; the AI catches the rest.
- Add after-hours forwarding so evening and weekend callers are booked in.
- Forward all calls only if you want the AI receptionist as your front line.
Will callers notice the forwarding?
No. They dial your usual number and hear your AI receptionist answer with your business name. Urgent calls can still be transferred to you.
