What Is an AI Receptionist and How Does It Work?

By the Vocavant team · Updated 7 November 2026

An AI receptionist is a voice assistant that answers your business phone, talks with callers in natural language, books appointments or jobs, and sends you a summary of every call. It works 24 hours a day and answers on the first ring.

What does an AI receptionist actually do?

It handles the calls you can't take yourself. On a typical call it will:

  • greet the caller with your business name and say it's a virtual assistant,
  • answer common questions about services, prices, opening hours and location,
  • book an appointment or job into your calendar while the caller is on the line,
  • put urgent calls straight through to your mobile,
  • take a message when it's unsure, instead of guessing,
  • text the caller a confirmation and send you a summary.

How does it work behind the scenes?

Four parts work together in real time:

  1. Speech recognition turns the caller's voice into text.
  2. An AI model trained on your business works out what the caller needs, using only the facts you provide: services, prices, hours, area and your rules.
  3. A natural voice speaks the reply in the accent your customers expect.
  4. Connected tools book the slot in your calendar, send texts or transfer the call.

Do I need a new phone number?

No. You keep your existing number and turn on call forwarding, so missed, busy or after-hours calls go to the AI receptionist. Our guide on forwarding calls to an AI receptionist explains how.

Will callers know it's AI?

They should, and a good setup tells them. Being upfront builds trust, and most callers simply want a quick answer or a booking. Anyone who wants a person can be transferred or promised a call back.

Which businesses use AI receptionists?

Any business that lives on the phone: dental and medical clinics, plumbers and electricians, estate agents, law firms, salons, vet practices and restaurants. You can hear an example call for each industry.

What can't it do?

A well-built AI receptionist won't invent prices or give medical, legal or safety advice. It follows the rules you set and hands anything it can't handle to you. That's why each one should be tested on many realistic calls before going live.

How much does an AI receptionist cost?

Most are priced as a monthly plan plus a one-time setup. Ours start at $249 a month; see pricing. To see whether it's worth it for you, compare that with what missed calls cost you using our missed call cost calculator.
